Ask three companies what a chatbot costs and you will hear “R299 a month”, “R15 000” and “it depends”. They are all telling the truth, because they are selling different things. This guide breaks down the real options for a South African small business in 2026, what each one costs, and the WhatsApp fees that most quotes leave out.
The three ways to get a chatbot
1. A do-it-yourself chatbot app
You sign up for a chatbot platform, connect your WhatsApp number or website, and set up the answers yourself. These prices were published by South African and international providers in 2026:
| Option | Monthly price (published) |
|---|---|
| BizAI AI Inbox | R299 |
| Whapp (Starter to Enterprise) | R695 to R2 495 |
| WATI | about R900 to R2 000 |
| Tidio | about R950 to R3 800 |
Good for: owners who are comfortable with software and have time to set it up, test it and keep it updated.
Watch out for: most of these plans charge WhatsApp message fees and AI usage on top. The chatbot is also only as good as the information you load into it, and that part is your job.
2. A done-for-you assistant on a monthly plan
Someone builds the assistant for you around your business, connects it to the tools you already use, and keeps it working. You pay a monthly amount instead of a big upfront bill.
At Sybergain, AI assistants and automations start from R700 a month. The assistant answers from your own prices and policies, can take bookings, and passes anything it is unsure about to you. You get a fixed quote after a free discovery call, and no VAT is added because we are not VAT registered.
Other South African agencies publish monthly plans that bundle an AI agent with CRM software and automation, often from about R5 000 a month.
Good for: busy owners who want it done properly without learning a new tool.
3. A fully custom build
For bigger or more complex jobs, agencies quote a once-off build fee plus a monthly running cost. Published examples include builds from R15 000 once-off, and South African guides put custom AI automation at R25 000 to R150 000+ to build, plus R3 000 to R20 000 a month to run.
Good for: businesses that need the assistant connected to several systems, with custom workflows, reporting or high message volumes.
The WhatsApp fees nobody mentions
If your chatbot runs on WhatsApp, Meta (the company that owns WhatsApp) charges per message for some messages. In 2026:
- Replies to a customer who messaged you first are free for 24 hours after their last message.
- Reminders and updates (like booking confirmations) cost roughly 20 cents each at small-business volumes.
- Promotions and broadcasts cost roughly 50 cents each.
For most small businesses that mainly answer incoming questions, these fees stay small. They add up quickly if you plan to send promotions to a big list, so ask for an estimate before you start.
What pushes the price up
- More places to answer. WhatsApp, your website and Facebook Messenger each need setting up.
- Connecting your systems. Reading your calendar, your stock list or your accounting software takes extra work.
- Taking actions, not just answering. Booking appointments, capturing orders or sending quotes costs more than answering questions.
- Message volume. More conversations mean higher AI and WhatsApp usage costs.
Questions to ask before you pay for a chatbot
- What does it cost each month after setup, including WhatsApp and AI usage?
- Where does it get its answers, and what happens when it does not know?
- Can I see every conversation, and correct it?
- How is my customers’ personal information handled under POPIA?
- Who owns the setup and the information if I leave?
The short version
A chatbot can cost anything from about R300 a month if you set it up yourself, to over R150 000 for a fully custom system. For most small businesses the sweet spot is a done-for-you assistant on a monthly plan. With Sybergain that starts at R700 a month, with a fixed price before any work starts. If you want to know whether it is worth it for your business, book a free discovery call. If it is not worth it, we will tell you.
